Who we are

VMS Guru (“VMS Guru”, “we”, “us”, or “our”) is an AI-powered Video Management System (VMS) and Claim Management System (CMS) for e-commerce sellers, operated by VMS Guru. We are the data controller for the personal information described in this policy.

Information we collect

We collect only what we need to provide and improve the service:

• Account & business details — name, business name, email, phone number, billing address, and tax registration details.
• Order & logistics data — Order IDs, AWB numbers, SKUs, marketplace names, and operator identifiers you sync or scan.
• Video & image data — packing and return (forward and reverse) clips captured by your connected cameras, along with associated metadata and timestamps.
• Usage & device data — log files, IP address, browser/app version, and feature usage, used for security and product analytics.
• Payment data — handled by our payment processors; we do not store full card numbers on our servers.

How we use your information

• To record, index, tag, store and retrieve packing and return videos against your Order IDs.
• To draft and file marketplace-compliant dispute claims on your behalf.
• To operate the AI engine — vision, OCR, anomaly detection and claim drafting — on the parcels you process.
• To process payments, manage credits, and send service and billing communications.
• To secure the platform, prevent fraud and abuse, and meet legal obligations.

Your video content

Video footage you capture through VMS Guru belongs to you. We process it solely to deliver the service — tagging, storage, retrieval and claim filing. We do not sell your footage, and we do not use identifiable customer video to train models without your explicit consent. You are responsible for informing your staff and any individuals recorded that cameras are in use, and for obtaining any consent required by law.

When we share information

We share data only as needed to run the service, never to data brokers:

• Marketplaces & couriers — to file disputes and respond to footage requests on your instruction (e.g. AJIO, Flipkart, Amazon, Myntra).
• Service providers — cloud hosting, storage, payment processing and communication tools bound by confidentiality and data-protection terms.
• Legal & safety — where required by law, court order, or to protect the rights and safety of users and the public.
• Business transfers — in connection with a merger, acquisition or asset sale, subject to this policy.

Data retention

Video clips are retained for the backup duration you choose per plan — typically 30, 60 or 90 days — after which they are deleted from active storage. Account and billing records are retained for as long as your account is active and thereafter as required for legal, tax and accounting purposes.

Cookies

We use essential cookies to keep you signed in and secure, and limited analytics cookies to understand usage and improve the product. You can control cookies through your browser settings; disabling essential cookies may affect core functionality.

Your rights

Subject to the Digital Personal Data Protection Act, 2023 and other applicable laws, you may request to access, correct, or delete your personal data, withdraw consent, or object to certain processing. To exercise any right, email info.vmsguru@gmail.com. We respond within the timelines required by law.

Security

We protect your data with encryption in transit and at rest, role-based access controls, and audited infrastructure. For full details, see our Data Security page. No method of transmission or storage is perfectly secure, but we work continuously to protect your information.

Children

VMS Guru is a business tool and is not directed to anyone under 18. We do not knowingly collect data from children.

Changes to this policy

We may update this policy from time to time. Material changes will be posted here with a revised “last updated” date, and where appropriate we will notify you directly.
